Instructions & Forms

Items due BEFORE the Tournament:
  • 2.25.20 @ midnight- Demographics- must be completed or you will not be able to access self-schedule. 
    • Click here to see the status of your demographics.  The state directors will try to update this form every evening.
  • OPEN 2.26.20 8AM - 3.9.20 12 PM - Self Schedule 
    • Follow these instructions to create an account if you don't already have one.
  • OPEN 2.25.20 @ midnight- Student Subway Lunch Order ​-
    • There is an order form you can have students complete if they would like a Subway boxed lunch.  Please keep track (yourself) of what type of sandwich each student orders. Contact Laura for the form.
    • Email Laura with your order by March 1, 2020

Forms due AT TOURNAMENT REGISTRATION:
  • Final Roster:  (One for each team) Final roster form for your team.  Please complete one roster for each team and have your principal sign the form(s).  
    • Varsity (maximum 15 students, 7 seniors)*
    • Junior Varsity (maximum 25 students)*
  • Media and Participation Release:  (One for each participant) Release form including sections for media and participation.  Put these in the same numerical order as the students appear on your final roster and turn them in at registration.
  • Medical Release:  (One for each participant) Release for medical purposes.  You must show these at registration, but you will keep these.
  • ISO Volunteer Code of Conduct (one per volunteer, including coaches)
  • Payment for Subway Lunch order- Check(s) made payable to Illinois Science Olympiad or exact cash.

  • Self-schedule event times are approximate.
  • One week prior - Schedule with room #s and homeroom #s will be emailed to coaches and event supervisors

Tournament Logistics

Team Drop-Off
Please drop students off near BIC North circle drive and enter Door 3.
Students should go directly to homeroom in BIC while coach register (see below for more information on registration location/times). 

Parking
All car traffic can park in College Lot 1 towards the front.
Small buses can park in the back of College Lot 1, the yellow buses if staying need to park in the back of College Lot 6 or 1A.

Homerooms
Please do not switch homerooms as we will need to know where everyone is, should any issues arise throughout the day.  I will email you your homeroom location on 3.4.19.


Impound Times
Please see the schedule for impound times and locations. Put your school name and team number on all devices, binders and supplies so that we can return them if they are lost.  After the tournament, pick up all impounded devices.  Anything not claimed will be thrown out.

Food for Students
Subway Food Pickup outside BIC 2523 at 11:30AM  (Send a coach or parent!)
There are no additional food options besides vending machines on campus.  You may eat in your homerooms.
No food or drinks (except water) are allowed in the PE arena.

Events in Lab Rooms
The following events will be held in HSC rooms: water quality B & C, density lab, chemistry lab, forensics,  and crime busters.  Each competitor, event supervisor, and volunteers must be wearing pants and close-toe shoes in addition to any requirements listed in each event's rules. Goggles must be worn by ALL if any wet chemicals (including hot water) are being used. Gloves (supplied by COD) must be worn by ALL if any chemicals (including salt water) are being used.  No food or food service items in the chemistry lab – if you need to heat water, you may use COD hot-plates.  If you bring in your own water heaters, please clearly label them "NOT FOR FOOD USE." There should be no more than 24 students and 4 adults in any one room.  If you have more volunteers than 4 adults, there are areas you can send them to begin grading early.  Mary Newberg can help you find a location or text Liz/Laura. 

Awards Ceremony
The awards ceremony will be held in the PE Arena at 4:30PM, pending scoring issues.  Please evacuate your homeroom by 3:15PM and bring your homeroom checklist to awards.  The College of DuPage will have booths available for students and parents to visit between 3 and 4:30PM. The students will have the opportunity to enter a raffle and win other COD Swag! Please leave homerooms as you found them and bring your homeroom checklist to awards.  Please be respectful of the COD President's intro speech at awards and keep the middle aisle to the hallway clear.  Packets for each team will be available for pick-up after the ceremony.  If you chose not to remain for awards, packets will not be emailed/mailed to you.  Buses can pick up teams in College Lot 1 after awards.

Coach & Event Supervisor Info

6:30 - 8:00 in SRC South Circle Drive near the cafeteria
After 8:00, please go to BIC 2523.

Coaches, as you check in, volunteers will count out the designated amount of wristbands for your team. Please do not leave the check-in table until you do this. Students without wristbands will not be admitted to their events. Please read the Wristband directions that you will find in your registration packet at check-in.  Each wristband will be labeled with your team number and either "V" for varsity or "JV" for junior varsity.  Please pay close attention when passing out wristbands to your students.

Headquarters/Hospitality/Scoring/Arbitration
Headquarters/Hospitality in BIC 2523.
  • Coaches and Event Supervisors are welcome to join us for hospitality throughout the day.  Breakfast will be available beginning at 7:30AM and lunch will be available beginning at 11:30AM.  We do not have enough food for students or high school/college student volunteers.

Concessions/Food for Event Supervisors/Adult Volunteers
A light breakfast (beginning at 7:30am) and lunch (beginning at 11:30am) will be available in BIC 2501. We do not have enough food for students or high school/college student volunteers. There are no additional food options besides vending machines on campus.

Volunteers!

If you are a high school student, college student, or parent interested in volunteering at the tournament, please register here.  On 3.14.20 you must check in at least 20 minute prior to your volunteer time-slot in BIC 2501.

Policies

Homerooms and event rooms will be unlocked from 7AM-4PM.  Outside these hours, please go to hospitality (BIC 2523) to get access.

Remain quiet in the homerooms and hallways.  COD classes are in progress.

COD is an open and unsecured campus.  Anyone can come and go on campus.  Coaches need to keep an eye on their students.  Students should NOT go wandering off by themselves.


Cell phones MUST be turned off and put inside a personal belonging that is left at the front (or back) of the room. Phones may NOT be kept on a student during an event. Students found with cellphones may be asked to leave the event.
